Volanté is currently seeking a dynamic individual for the role of Project Coordinator to provide reliable, timely, and professional support to the Project Team, assisting with the day-to-day project coordination activities. The position entails working with a diverse group of internal and external stakeholders at all levels of the organization, and the successful candidate will require independent judgment to plan, prioritize, and organize a diverse workload.

Job Details

As a member of the Projects Department, you will be assisting project managers and specialists with the planning/execution and on-time delivery of projects. These activities include:

  • Working closely with our Project Managers to prepare comprehensive action plans, including resources and timeframes
  • Review quotes and process for PO creation
  • Perform various coordinating tasks like schedule and risk management, along with administrative duties like maintaining project documentation
  • Time management and communication skills are a critical factor for succeeding in this position, as you’ll collaborate with clients and internal teams to deliver results on deadlines
  • Coordinate project management activities, resources, equipment and information
  • Liaise with clients – including onsite staff – to flush out requirements, scope and objectives
  • Follow-up with assigned tasks to internal teams and assist with schedule management 
  • Act as the point of contact and communicate project status to all participants
  • Work with the Project Manager to eliminate blockers
  • Use tools to monitor working hours, plans and expenditures
  • Create and maintain comprehensive project documentation, plans and reports
  • Ensure standards and requirements are met through conducting quality assurance tests
  • Ensure PO is issued prior to installation work by clients
  • Review/track deficiencies and follow up with client/internal teams regarding deficiency correction and acceptance by Operations
  • Flag issues in a timely manner to PM/Specialist/Clients
  • Coordinate implementation activity with internal and external resources
  • Attend daily/weekly conference calls as required with Clients to monitor work schedule and update PM/Specialist on progress
  • Update Internal Office systems with current project status
  • Administrative duties as required

Mandatory Skills

  • Degree or Diploma in Project Management
  • Possess excellent Microsoft application skills (Excel, Word and Outlook)
  • Good verbal communication and writing skills are essential
  • Detail-oriented, with an emphasis on quality of work
  • Proven exceptional work-ethic, self-motivated, and highly driven
  • Polished "follow up" and information gathering skills
  • Excellent organizational skills
  • Must have flexible hours to meet and exceed the needs of the project
  • Open and adaptable to providing all types of support to the office and fellow team members as required

Nice-to-Have Skills

  • Previous experience of working in project management is considered an asset
  • PMP Certification
  • Self-starter attitude with an ability to work in an office environment without constant guidance and direction
  • Enjoys a fast pace environment and is highly professional
